Describe the business need
Explain the service or business capability you need to change. Include affected users and processes, alongside the problem you are trying to solve.
Share constraints deliberately
List dependencies, jurisdictions, information classification, procurement rules and expected decision dates. Avoid including confidential files until the receiving team confirms a secure transfer channel.
Define acceptance
Describe how you will assess the response and validate delivery. Ask for explicit assumptions, exclusions, responsibilities and evidence instead of broad outcome claims.
Leave room for discovery
Separate requirements already agreed from areas where you need specialist input. A clear set of open questions helps both sides scope the next conversation.
This is a general planning perspective. Specific requirements, constraints and suitability should be reviewed for your engagement.
